Information we collect
Depending on how you use the practice and website, we may collect:
- Your name, contact details and correspondence preferences.
- Details of your pets, appointments, treatment and clinical history.
- Messages sent using our website contact form and your replies to us.
- Billing and payment records, and insurance details where relevant. We do not collect full payment-card details through the website contact form.
- Technical information needed for website security, staff sign-in and, if you agree, website analytics.
Please do not send urgent clinical information through the website form. Call the practice instead.
Why we use your information
- Veterinary services, appointments and communication: to provide services you request and administer our contract with you.
- Clinical, professional and accounting records: to meet applicable legal and regulatory obligations and maintain appropriate veterinary records.
- Enquiries, feedback and complaints: for our legitimate interest in responding to people who contact us and improving our services.
- Appointment and care reminders: where permitted by law, to support continuity of care and practice administration. Any promotional marketing is subject to applicable consent and marketing rules.
- Website security and staff administration: for our legitimate interests in protecting accounts, responding to misuse and keeping the website reliable.
- Optional website analytics: with your cookie consent, to understand how visitors use the site. You can withdraw that consent at any time using Cookie settings.
Where we rely on legitimate interests, these include providing a responsive veterinary service, securing our systems and keeping accurate practice communications. We balance these interests against your rights.
Who may receive your information?
Only where relevant, we share information with our practice-management and booking providers, website and email hosting or support providers, payment processors, laboratories, referral and out-of-hours veterinary providers, insurers you ask us to contact, professional advisers and public authorities where required. The practice uses Lupa for relevant booking and practice services; the website uses an email delivery provider and its own secure enquiry records. We do not sell personal data.
How long do we keep information?
We keep information for as long as it is reasonably needed for veterinary care, continuity of treatment, legal and professional record-keeping, tax or accounting obligations, and the handling of enquiries or disputes. We review records against those purposes and applicable retention requirements. Website enquiries are stored in our administrative system so the clinic can respond and follow up; they are not automatically deleted immediately after an email has been sent.
International services
Some technology suppliers may use infrastructure or support teams outside the UK. Where an international transfer of personal data occurs, it must be covered by an applicable UK data-protection mechanism. Contact the practice if you would like information about the safeguards relevant to your data.
Your rights
Depending on the circumstances and the lawful basis used, you may ask to access or correct information, request erasure or restriction, object to processing or request data portability. You can withdraw consent for optional processing at any time without affecting earlier lawful use.
You have the right to object to processing based on legitimate interests. Contact us using the details above to make a request. We normally respond within one calendar month; permitted extensions and exceptions may apply.
Information you provide
We need certain contact and pet details to arrange appointments, provide care and maintain required records. Without them, we may be unable to deliver some services. Website enquiries are optional, and we do not use the contact form to make solely automated decisions with legal or similarly significant effects.
Questions or complaints
Please contact us at [email protected] if you have concerns about your information. You can also complain to the Information Commissioner's Office (ICO) on 0303 123 1113.
